Privacy Policy

This policy explains what information Lonewolf AI Solutions collects, why we collect it, who we share it with and the choices you have. We keep it plain, we collect as little as we can and we never sell your data.
The short version. We collect what you tell us so we can reply, run your booking and do the work. We use a handful of well known providers to host, email and take payment, some of them overseas. You can ask to see, correct or delete your information at any time.
01Who we are
Lonewolf AI Solutions is a New Zealand business based in Auckland. We build websites, booking systems and AI automation for other businesses. In this policy we and us mean Lonewolf AI Solutions, and you means anyone who visits our site, enquires, books a call or becomes a client.
We are responsible for the personal information described here. If you are a customer of one of our clients and you reached us through a system we built for them, that client is responsible for your information and we handle it on their behalf.
02What we collect
We only collect what we need.
- Details you give us. Your name, email, phone number, business name, website and anything you tell us about your project through a form, an enquiry, the AI audit or a booking.
- Booking information. When you book a call we record the time you chose, how you want to meet, any notes you add and whether the booking was later changed or cancelled.
- Payment information. If you pay us, the payment itself is handled by our payment provider. We see the amount, the date and the result. We never see or store your full card number.
- Technical information. Basic, non identifying information about how the site is used, such as pages viewed and rough location by country.
03How we use it
- To reply to your enquiry and arrange a call.
- To run your booking, send confirmations and reminders, and put the appointment in the calendar.
- To provide, support and improve the work you have asked us to do.
- To take payment and keep the records the law requires us to keep.
- To keep our systems secure and working properly.
We do not sell or rent your information to anyone, and we do not use it to build advertising profiles.
04Artificial intelligence
We build and run AI systems, so it is only fair that we are clear about it.
- Some of our tools, such as voice agents and chat assistants, process what you say or type so they can answer you and capture your enquiry.
- AI output can be wrong. Anything that matters, such as a price, a booking or advice, is confirmed by a person before it is relied on.
- We do not use your personal information to train public AI models.
05Who we share it with
We use a small number of trusted providers to run the business. Each one only gets what it needs.

We may also share information if the law requires it, or to protect our rights or someone's safety.
06Sending information overseas
Some of the providers above hold information outside New Zealand, as shown in the table. Before we use a provider we satisfy ourselves that it protects personal information to a standard comparable to the New Zealand Privacy Act 2020. By using our site or booking with us you understand your information may be held overseas by these providers.
07How long we keep it
- Enquiries that go nowhere. Up to two years, then deleted.
- Bookings and appointments. Up to two years after the appointment.
- Client project records. For the life of the engagement and seven years afterwards.
- Financial records. Seven years, as New Zealand tax law requires.
You can ask us to delete your information sooner and we will, unless we are legally required to keep it.
08How we protect it
Everything travels over an encrypted connection. Access to our systems is limited to the people who need it and is protected by secure logins. Payment details are handled by our payment provider and are never stored on our servers. No system is perfect, so if something ever went wrong that put your information at serious risk we would tell you and the Office of the Privacy Commissioner, as the law requires.
09Cookies and analytics
We use a small number of cookies to make the site work and to understand, in aggregate, how it performs. We do not use advertising cookies that follow you around other websites. You can block or delete cookies in your browser settings, though parts of the site may then not work as intended.
10Your rights
Under the New Zealand Privacy Act 2020 you can:
- Ask what personal information we hold about you and get a copy.
- Ask us to correct anything that is wrong.
- Ask us to delete information we no longer need.
- Withdraw consent to marketing at any time. Every email we send has an unsubscribe link.
Email us and we will respond within 20 working days, which is the timeframe the Act sets.
11Children
Our services are for businesses and are not aimed at children. We do not knowingly collect information from anyone under 16. If you believe we have, email us and we will delete it.
12Complaints
If you are unhappy with how we have handled your information, tell us first and we will try to put it right. If you are still not satisfied you can complain to the Office of the Privacy Commissioner at privacy.org.nz or 0800 803 909.
13Changes to this policy
We may update this policy as the business changes. The current version always lives on this page with the date it was last updated at the top. If we make a significant change we will say so on the site.
